Check before you use it

  • Give the payslip within one working day of paying the employee, as a paper or electronic copy (s 536, reg 3.45).
  • Tax withheld is not calculated here. Use the ATO tax tables or your payroll software, and report each pay through Single Touch Payroll.
  • Super is calculated on ordinary pay, penalty-rate ordinary hours and the other amounts you entered. Overtime is excluded. Some allowances and expense reimbursements are not ordinary time earnings: take them out of the super base if so (ATO).
  • Deductions need written authorisation that is principally for the employee’s benefit, or must be authorised by an award, agreement, order or law (s 324).
  • Do not show paid family and domestic violence leave as leave, or its balance. Report it as ordinary hours or another payment (regs 3.47–3.48).
  • Pay rates must meet the award or agreement for the classification. This tool does not check rates.

How this works

Enter the pay details and the payslip builds as you type. Gross pay is ordinary pay plus penalty-rate hours, overtime and other amounts. Net pay is gross pay less the tax withheld and deductions you enter. Super is your super rate applied to ordinary pay, penalty-rate ordinary hours and other amounts, with overtime left out.

The checklist tests the payslip against regulation 3.46 of the Fair Work Regulations 2009. A blank ABN does not count as missing, because the rule applies only if the employer has one.

Not included: PAYG withholding (enter it from the ATO tax tables), award rate checks, leave balances and Single Touch Payroll reporting. Nothing you type leaves your browser.

Questions

What must a payslip include?

The employer’s name and ABN (if any), the employee’s name, the pay period, the date of payment, gross and net pay, and any loading, allowance, penalty rate, bonus or other separately identifiable amount. Hourly employees need the ordinary rate, the hours at that rate and the amount; salaried employees need their annual rate. Each deduction needs its amount and where it was paid, and super contributions need the amount and the fund.

When do payslips have to be given?

Within one working day of paying the employee, even if they are on leave. They can be paper or electronic.

Is super paid on overtime?

Generally not. Super guarantee is calculated on ordinary time earnings, which include ordinary hours, penalty rates and shift loadings for ordinary hours, and most allowances, but not overtime where ordinary hours are identified.

How should family and domestic violence leave appear on a payslip?

Not as leave. Paid family and domestic violence leave must be shown as ordinary hours or another kind of payment, such as an allowance, and the payslip must not show the leave balance. This protects the employee’s safety.
